Customer Summary (Profile Page) — Your Hub for Everything About a Customer

Last updated July 6, 2026 · Admins and office staff

The Customer Summary is the profile page for a single customer — everything attached to that account lives here: contact details, job sites, jobs, appointments, estimates, invoices and payments, contracts, contacts, notes, and Customer Portal access. You land on this page right after creating a customer, and you get back to it any time by opening the customer from the customer list.

Before you start

  • An operator account with access to the Customers menu.
  • A customer to look at — open one from Customers by clicking its row or its View button.

What’s on the page

  • The customer’s name with breadcrumb Home / Customers / (name).
  • Quick-action buttons:
    • Create Job — opens the job creation form with this customer pre-selected.
    • Schedule Appointment — opens appointment scheduling for this customer.
    • Create Estimate — opens the estimate form with this customer pre-selected.
    • Back — returns to the previous page.

At-a-glance cards

  • Financial Summary — Total billed, Total paid, Outstanding, and Last payment date, computed from this customer’s invoices and payments.
  • Next Appointment — the customer’s soonest upcoming (not yet completed) appointment: job name, date/time, and crew. Shows “No upcoming appointments scheduled.” otherwise.

Tabs

The tabs are organized into four groups. Each group keeps its own selection, so you can look at (for example) Notes and Estimates at the same time. Count badges show how many records each tab holds.

Group Tab What it shows / what you can do
Profile Information Editable form with the customer’s details — see Update Customer
Profile Contacts Contact-person cards with a Primary label; Add Contact button; edit and delete per contact — see Add Contact, Manage Contacts
Profile Notes Dated internal notes; Add Note button; edit and delete per note — see Add Note, Manage Notes
Work Jobs All jobs for this customer (name, job site, status). View opens the job. To add one, use Create Job in the header.
Work Job Sites Service locations (name, address). Add Job Site button; view/edit and delete per site — see Add Job Site, Manage Job Sites
Work Appointments Every appointment across this customer’s jobs (date, time, job, crew, status). Schedule Appointment button; View opens the scheduler.
Financials Financials Invoices and payments in one list (date, type, number, due date, balance, total, status). View opens the invoice or payment; unpaid invoices also get a Pay button to record a payment. Overdue items are flagged.
Financials Estimates Estimates for this customer (name, status, amount, date). Status badges: Draft, Sent, Viewed, Accepted, Declined, Expired. Create Estimate button; View opens the estimate; Delete removes it (with confirmation).
Financials Contracts Service contracts (name, status, pricing model, base amount, term dates). New Contract button; View opens the contract.
Portal Portal Turn Customer Portal access on or off for this customer and send them a portal invite.
Portal Portal docs Documents currently shared to this customer’s portal; you can review and revoke sharing here (documents are shared from their source screens via a “Show in portal” option).

What happens next

Most actions on this page confirm with a green success banner (for example “Customer details updated successfully!” or “Jobsite added successfully!”) and bring you right back to the summary, so you never lose your place. Grids inside the tabs support sorting, filtering, and paging just like the main customer list.

Tips & best practices

  • Add a job site before anything else. Jobs and estimate-to-job conversion both need a job site — see Add Job Site.
  • Use the Financial Summary card for collections at a glance — an Outstanding amount with an old Last payment date is your cue to open the Financials tab.
  • Keep one contact marked Primary so office staff always know who to call.
  • The header buttons are the fastest path to a new job, appointment, or estimate for the customer you’re already looking at — no need to re-pick the customer on the next screen.

Troubleshooting

  • “Customer not found.” — the link you followed points at a customer that doesn’t exist (or was removed). You’re returned to the customer list; find the customer there.
  • A tab shows an empty state (“No jobs found…”, “No contacts found…”) — nothing of that type exists yet for this customer. Each empty state includes a button to create the first record.
  • Financial figures look off — the summary card counts invoices for billed/outstanding totals and payments for the last-payment date. Open the Financials tab to see the underlying records line by line.
  • The Portal tab shows no invite option — the Customer Portal must be enabled for your company first, and the customer needs an email address on file.
