How to Add a Note to a Customer (Customers)

Notes are dated, internal-only entries on a customer account — call summaries, complaints, gate codes, “dog in backyard”, anything your team should remember. Customers never see them. Notes are added from the customer’s profile page.
Before you start
- The customer must already exist — see Create a Customer.
- Both fields matter: a note needs a date and a non-empty description.
Steps
- Open the customer from Customers (see List Customers).
- On the Customer Summary, select the Notes tab (in the Profile group).
- Click Add Note. (If the customer has no notes yet, the tab shows an Add Your First Note button instead.)
- Fill in the Add Note window:
- Note Date — required. Click the field to pick a date from the calendar (MM/DD/YYYY). This is the date the note is about, so you can back-date or future-date it.
- Description — the note text. It can’t be empty; if you try to save a blank note you’ll get “Please fill out the Description field.”
- Click Save Note. (Cancel closes the window without saving.)
What happens next
The window closes and the Customer Summary reloads with a green “Success! Note created successfully!” banner. The note appears in the Notes tab’s list showing its date and text, with edit and delete buttons alongside (see Manage Notes).
Tips & best practices
- Pick the date deliberately — it can’t be changed later when editing the note, only the text can. If the date is wrong, delete the note and re-add it.
- Log every meaningful customer interaction (complaints, promises, schedule changes). The Notes tab becomes your account history when a dispute comes up months later.
- Keep one topic per note rather than one giant running note — dated entries are much easier to scan.
Troubleshooting
- “Please fill out the Description field.” — the note text is empty; type something before saving.
- The date field won’t accept typing — use the calendar picker that opens when you click the field.
- “Customer not found.” — the customer couldn’t be matched when saving; you’re returned to the customer list. Reopen the customer and try again.
- “An error occurred while creating the note.” — the save didn’t complete; try again, and contact support if it persists.
