How to Update or Delete a Note (Customers)

Existing customer notes are edited and deleted from the Notes tab on the customer’s profile page. Each note in the list has two icon buttons: a pencil (View) to open and edit its text, and a trash can (Delete) to remove it. To create a new note, see Add Note.


Before you start

  • The customer must have at least one note — see Add Note.
  • Deleting a note is permanent; there is no undo.

Update a note

  1. Open the customer from Customers and select the Notes tab (in the Profile group).
  2. On the note you want to change, click the pencil icon (View). The View Note window opens showing the note’s date and text.
  3. Edit the Description — the note text. It can’t be saved empty.
    • The Note Date is shown but read-only in this window; you can’t change it when editing. If the date is wrong, delete the note and add a new one with the correct date.
  4. Click Update Note. (Cancel discards your changes.)

You’ll land back on the Customer Summary with a green “Success! Note updated successfully!” banner.

Delete a note

  1. On the same Notes tab, click the trash-can icon (Delete) on the note.
  2. Confirm the prompt “Are you sure you want to delete this note?”.

On success you’ll see “Success! Note deleted successfully!” and the note disappears from the list.

What happens next

Edited text shows immediately in the Notes tab. Deleted notes are removed from the customer’s history.

Tips & best practices

  • The date is fixed once created — only the text is editable. Delete-and-re-add is the only way to correct a note’s date.
  • Don’t overwrite a note with an unrelated update. Since each note is dated, add a new note for a new event rather than editing an old one, so the timeline stays accurate.

Troubleshooting

  • “Please fill out the Description field.” — you cleared the note text; type something before saving.
  • The View window opens empty — the note failed to load; close it and click the pencil again.
  • “Note not found.” — the record couldn’t be matched when saving (possibly deleted in another session). Refresh the page.
  • “Failed to delete note.” / “An error occurred while updating the note.” — the operation didn’t complete; try again, and contact support if it persists.
