How to Update a Customer's Details (Customers)

Last updated October 29, 2026 · Admins and office staff

A customer’s details (name, contact info, address, classification, active status and tax status) are edited directly on their profile page. There is no separate edit screen: the Information tab on the Customer Summary is a live form.

Before you start

  • An operator account with access to the Customers menu.
  • The customer must already exist. See Create a Customer.

Steps

  1. Go to Customers and open the customer (click the name or the View button). See List Customers.
  2. On the Customer Summary, select the Information tab in the Profile group.
  3. Edit any of the fields:
    • First Name: optional, for people. It is hidden for Commercial and Government customers, and switching to one of those clears it.
    • Last Name or Company Name: required. For a business, put the whole business name here. Spaces before or after the name are removed when you save.
    • Email Address: must be a valid email format if entered.
    • Phone: must be a valid phone number if entered, up to 20 characters.
    • Address Line 1 / Address Line 2 / City / State / Zip Code: start typing the street in Address Line 1 to get up to five US address suggestions. Picking one fills the street, city, state and zip; every field stays editable. Zip Code must be 5 digits or ZIP+4.
    • Classification: required. Residential, Commercial, Government or Other. A customer converted from a lead may show “Select…” until you pick one.
    • Active Customer: turn off to mark the account inactive (kept on file, no longer serviced), on to reactivate.
    • Tax Exempt: turn on for tax-exempt accounts.
  4. Click Update Customer at the bottom of the form.

What happens next

The page reloads on the same Customer Summary with a green “Customer details updated successfully!” banner. If a value is not accepted, you are returned to the summary with a red banner that says what is wrong (for example “Please enter a valid email address.”). Re-open the Information tab and correct it.

Tips & best practices

  • Deactivate instead of deleting. Turning off Active Customer keeps the full history (jobs, invoices, notes) while marking the account dormant.
  • Keep the email current. It is used for the Customer Portal login and for emails like invoices and estimates.
  • Customer address vs. job site address: the address here is the customer’s billing or mailing address. Where the work happens is a job site; edit those on the Job Sites tab instead (see Manage Job Sites).

Troubleshooting

  • The form will not submit. Last Name or Company Name and Classification are required.
  • “Please select a classification.” / “Please select one of the listed classifications.” Pick a classification from the list and save again.
  • The whole name is in Last Name or Company Name. Customers added before first and last names were split keep the full name in that box unless it was a plain two-word name like “Jim Kraft”. Businesses, “Kraft, Jim” and longer names stay whole. Move the first name into First Name, leave the rest in Last Name or Company Name, and save.
  • Red banner about email, phone, zip or length (for example “Phone number cannot exceed 20 characters.”). Fix the value or clear the field.
  • “Customer not found.” The record could not be matched when saving (for example if it was removed in another session). Refresh and try again.
  • “An error occurred while updating the customer.” The save did not complete. Try again; contact support if it persists.
  • No address suggestions appear. Type at least three characters. If the lookup is unavailable, type the address by hand; saving still works.
