How to Convert an Accepted Estimate to a Job (Customers)

Once a customer accepts an estimate, you turn it into an actual job with one click — the Convert to Job button on the estimate’s page. This copies the estimate’s name, description, and billing details into a new job, links the two together, and drops you on the new job’s page. The estimate must be Accepted and the customer must have at least one job site.
Before you start
- The estimate’s status must be Accepted. If it’s Draft, Sent, Viewed, Declined, or Expired, the Convert button is disabled — update the status first.
- The estimate must be attached to a customer. If it’s only linked to a lead, convert the lead to a customer first (there’s a Convert Lead to Customer button on the estimate for exactly this).
- The customer must have at least one job site — conversion needs somewhere to place the job. See Add Job Site.
- The estimate must not already be converted — once it has a job, the button changes to View Job.
Steps
- Open the estimate. You can reach it from the customer’s Customer Summary Estimates tab (click the estimate name or View), or from the Leads/Estimates area.
- Make sure the estimate shows the Accepted status. If not, use the status control on the estimate to set it to Accepted.
- Click Convert to Job in the estimate’s header.
- In the Convert Estimate to Job window, review the summary (estimate name, customer, total) and click Yes, Convert to Job.
What happens next
The system creates a new job from the estimate — carrying over the estimate’s name, description, billing mode, and season — links the estimate to that job, and redirects you to the new Job Summary page with a green “Success: Estimate ‘…’ has been converted to a job.” banner. Back on the estimate, the Convert to Job button is replaced by View Job (and a Convert to Invoice option), so you can always hop between the linked estimate and job.
If the estimate had already been converted, you’re taken to the existing job with an informational note instead of creating a duplicate.
Tips & best practices
- Set the status to Accepted the moment the customer says yes — it’s the gate that unlocks conversion.
- Add the job site up front. The most common conversion blocker is “no job site” — creating one right after you create the customer avoids the round trip.
- The new job starts Active and picks up the estimate’s billing mode (Per Visit or Monthly Fixed). Review the job’s billing settings before you schedule or invoice.
- After converting, schedule the work from the job or the customer’s Appointments tab.
Troubleshooting
- The Convert to Job button is greyed out — the estimate isn’t Accepted yet, or it’s linked only to a lead (not a customer). The button’s tooltip tells you which. Fix the status or convert the lead to a customer.
- “Only accepted estimates can be converted to jobs.” — set the estimate’s status to Accepted, then retry.
- “Customer must have at least one job site to convert an estimate to a job.” — add a job site to the customer first (see Add Job Site), then convert.
- “Customer not found. Please ensure the estimate is linked to a customer.” — the estimate has no customer attached; link it to a customer (or convert its lead) before converting.
- “This estimate has already been converted to a job.” — a job already exists for it; you’re sent to that job. Use View Job on the estimate to reach it directly.
