How to Update or Delete a Contact (Customers)
Last updated October 28, 2026 · Admins and office staff
Existing contacts are edited and deleted from the Contacts tab on the customer’s profile page. Each contact appears as a card with two icon buttons: a pencil (View) to open and edit, and a trash can (Delete) to remove the person.
Before you start
- The customer must have at least one contact. See Add Contact.
- Deleting a contact removes it from the customer’s Contacts tab; there is no undo button.
Update a contact
- Open the customer from Customers and select the Contacts tab in the Profile group.
- On the contact’s card, click the pencil icon (View). The View Contact window opens with their current details.
- Edit any of the fields:
- First Name (optional, up to 100 characters)
- Last Name or Company Name (required, up to 225 characters; for a business contact, the whole business name)
- Email (up to 225 characters; must be a valid email if entered)
- Phone (up to 225 characters; must be a valid phone number if entered)
- Note (up to 500 characters)
- Primary Contact: tick to make this person the main contact. The “Primary” label comes off whoever had it before, so a customer only ever has one.
- Click Update Contact. (Cancel discards your changes.)
You land back on the Customer Summary with a green “Contact updated successfully!” banner.
Delete a contact
- On the same Contacts tab, click the trash-can icon (Delete) on the contact’s card.
- Confirm the prompt “Are you sure you want to delete this contact?”.
On success you see “Contact deleted successfully!” and the card disappears.
What happens next
Changes show immediately on the contact’s card, including the “Primary” label and the click-to-email and click-to-call links. Deleted contacts are removed from the customer’s Contacts tab.
Tips & best practices
- Changing the primary contact is one step. Open the new person, tick Primary Contact and save; the old primary loses the label automatically.
- Fill in First Name for people. Mail merge letters to contacts can greet by first name with the
«ContactFirstName»merge field; a business contact with no first name is greeted by its full name instead. - If a person changes role, edit the Note rather than deleting and re-adding. You keep the same card and history.
Troubleshooting
- The View window opens with empty fields. The contact’s details failed to load; close the window and click the pencil again.
- Red banner: “Contact last name or company name is required.” The Last Name or Company Name box was empty. Fill it in and save again.
- The whole name is in Last Name or Company Name. Contacts added before first and last names were split keep the full name in that box unless it was a plain two-word name. Move the first name into First Name and save if you want it split.
- Red banner about email or phone format. The values are checked on save; fix the format or clear the field.
- “Contact not found.” The record could not be matched when saving (possibly deleted in another session). Refresh the page.
- “Failed to delete contact.” / “An error occurred while updating the contact.” The operation did not complete; try again, and contact support if it persists.
