Job Summary: Editing a Job and Managing Its Products & Services

The Job Summary page is the job’s home base: edit its details, watch its appointments and money at a glance, attach the products/services you’ll bill for, upload photos, and run quick actions like completing the job or copying it to next season. You get there by clicking any job on Work > Jobs (or the View button on its row).
Before you start
- An existing job — see How to Create a Job.
- To add line items, the products/services should exist in your catalog first (Financials > Products & Services) — see Manage Products & Services.
What’s on the page
- Header — job name with its workflow badge (Active, On Hold, Completed, etc.), plus buttons: Place on Hold (or Resume Job when on hold), Schedule Appointment, View Full Calendar, and Back.
- Job Details card — the editable form (see “Edit the job” below).
- Customer & Jobsite card — read-only name/email/address for the customer and the job site, with a link to the customer’s page.
- Appointments & Financials card — five tabs: Appointments, Financials, Product/Services, Photos, Notes, each showing a count badge.
- Sidebar — At a Glance stats (Invoiced, Paid, Outstanding, Next Visit, Visits Completed) and Quick Actions: Copy to Season, Link to Program, Convert to Contract (or View Contract), Change Season, Complete Job, Create New Job, View Customer.
Steps
Edit the job
- In the Job Details card, change any of: Name (required), Status (Active / Inactive / Completed), Description, Season (Optional), Program (Optional), and the Set Job Invoicing toggle with its Billing Mode and Invoicing Terms (days) fields.
- Click Save Changes. You’ll see a green “Job details updated successfully.” banner.
Notes on the Status dropdown:
- Setting Status to Completed is blocked while the job still has open appointments — you’ll get a warning like “2 appointment(s) are still open - complete or delete them first.”
- A job that’s already completed can’t be moved back to Active from this form (“Completed jobs cannot be moved back to active from the edit form.”).
Add a product or service to the job
- Open the Product/Services tab and click Add Product/Service. A pop-up opens.
- Pick the Product/Service (required) from your catalog. The Rate auto-fills with that product’s unit price.
- Optionally adjust Description, Quantity (defaults to 1), and Rate. The Amount recalculates as Quantity × Rate; you can override it, but if it doesn’t match the calculation you’ll be asked to confirm before saving.
- Click Save. A “Data saved successfully!” confirmation appears and the line shows up in the grid (Product/Service, Quantity, Rate, Amount).
Edit or remove a line item
- On the Product/Services tab, click View on the line. The same pop-up opens with the line’s values, plus a Delete button.
- Change the values and click Save, or click Delete to remove the line (you’ll be asked to confirm; deleting can’t be undone).
Work with the other tabs
- Appointments — every visit on this job, with quick filters (Upcoming, Overdue, Next 7 days, Next 5, Last 5, All) and a status filter (Scheduled, On My Way, In Progress, Completed, Skipped, Rescheduled). Row actions: View (visit proof detail), Complete / Revert, History (who changed the visit and when), and Chem Log (record a chemical application for that visit). Use Schedule Appointment to add a visit — recurrence is available in the scheduling window.
- Financials — the job’s invoices and payments. Create Invoice starts a new invoice pre-linked to this job; each invoice row has View and, if unpaid, Receive Payment.
- Photos — upload photos (Take Photo or Choose File) with a required category (Before, Progress, After, Issue, Site Reference, Property Line) and optional caption, and assign them to a specific appointment or leave them job-level.
- Notes — an internal comment thread on the job; type in the box and click Add Note.
Quick actions (sidebar)
- Copy to Season and Change Season — see Generate Visits and Copy Jobs Between Seasons.
- Link to Program — pick a program (or “No Program (Unlink)”) to enroll the job in a multi-round program; the page reloads with the new link.
- Convert to Contract — creates a draft contract from the job (billing terms are copied; you finish pricing on the contract page). Once linked, the button becomes View Contract.
- Complete Job — marks the job complete after a confirmation. Blocked while open appointments remain. For jobs with Set Job Invoicing on and billing mode Seasonal Prepay / Manual, you’re taken straight to a draft invoice to review; otherwise you’ll see “Job marked complete.”
- Place on Hold / Resume Job (header) — pauses the job with a reason, optional note, and expected resume date; an on-hold banner shows on the page and the workflow badge changes to On Hold until you resume.
What happens next
Edits save in place and return you to the summary with a confirmation banner. Line-item changes refresh the Product/Services grid immediately. Completed jobs keep their history — appointments, financials, photos, and notes all remain viewable.
Tips & best practices
- Add line items before invoicing. Invoices and program billing draw on the job’s products/services — a job with no line items bills nothing.
- Let Rate auto-fill, then adjust. Picking the product fills its catalog price; tweak per-job pricing on the line rather than editing the catalog.
- Use Place on Hold instead of Inactive for temporary pauses — it records a reason and expected resume date and shows a clear banner.
- Check “At a Glance” before completing — Outstanding shows unpaid balances at a glance so nothing gets closed with money on the table.
Troubleshooting
- “N appointment(s) are still open - complete or delete them first.” — you tried to complete a job with unfinished visits. On the Appointments tab, mark them Complete (or delete/skip them), then retry.
- “Completed jobs cannot be moved back to active from the edit form.” — by design; completed is a terminal state on this form.
- Product dropdown in the pop-up is empty — your catalog has no products/services yet. Add them under Financials > Products & Services first.
- Amount warning when saving a line — “The calculated total price (Rate * Quantity) does not match the Amount.” Click OK to keep your custom amount, or Cancel and fix the numbers.
- Looking for a Delete Job button? There isn’t one on the job pages currently. Set the job’s Status to Inactive (or complete it) to take it out of day-to-day use; jobs with schedules or invoices are kept for history.
