How to Add and Remove Crew Members (Crews)

Crew members are the people on a crew. You assign existing users to a crew from that crew’s summary page, and remove them the same way. This article covers both. To create the crew itself, see Manage Crews.
Before you start
- The person must already exist as a user in your account — you assign existing users to crews, you don’t create people here. (Set users up under Settings/Users first.)
- Each member needs a valid email address on their user record. The system blocks assigning anyone whose email is missing or invalid. Add the email to the user’s profile first if needed.
- Open the crew: Crews → click the crew → Crew Summary.
Add (assign) a crew member
- On Crew Summary, click Assign Crew Member (header) or Add Member (on the Crew Members card). The Assign Crew Member modal opens.
- In the Crew Member dropdown, pick the person (the list shows all users by name).
- Click Assign Member.
The member appears in the Crew Members table with their name (avatar initial), email, and a remove button.
Rules the system enforces on assignment
- Valid email required — if the selected user has no email or an invalid one, you’ll get: “Crew members must have a valid email address before being assigned.” Fix the user’s email and try again.
- No duplicates — if the person is already on this crew, you’ll get: “This crew member is already assigned to the crew.”
- User/crew must be found — a stale selection returns “Unable to locate the selected crew member.”
Remove a crew member
- On Crew Summary, in the Crew Members table, click the remove (trash) button on the member’s row.
- The Remove Crew Member confirmation appears — “Are you sure you want to remove this crew member?”
- Click Remove Member to confirm, or Cancel to keep them.
The member is removed from the crew’s roster. (This only unassigns them from this crew — it doesn’t delete the underlying user account.)
What happens next
- The Crew Members table on Crew Summary updates immediately, and the Members count on the Crews list reflects the change.
- You must remove all members before a crew can be deleted — see Manage Crews.
Tips & best practices
- Add emails to users up front. The email requirement exists because crew members receive crew-app access and notifications — filling it in before assigning avoids the blocked-assignment message.
- Removing a member is safe and reversible — it only unassigns them; re-add them anytime. It does not touch their user account or history.
- An empty crew is fine to keep but can’t be scheduled meaningfully — assign at least one member before dispatching work to it.
Troubleshooting
- “Crew members must have a valid email address before being assigned.” — the user has no email or an invalid one. Edit the user’s profile to add a valid email, then assign.
- “This crew member is already assigned to the crew.” — they’re already on the roster; no action needed.
- “Unable to locate the selected crew member.” — the user or crew record couldn’t be found (e.g. the page was stale). Reload Crew Summary and try again.
- The person I want isn’t in the dropdown — they aren’t a user in your account yet. Create the user first, then return here.
- Can’t delete the crew — it still has members. Remove every member first (deletion is blocked while any remain).
