Invoice a Job from the Crew App
Last updated October 16, 2026 · Owners, supervisors, crew leads with Mobile Admin Access
When the work is done, an owner or supervisor can bill it from the job screen in the crew app, without going back to the office. This article covers the Invoice job action, the choice it offers on Per Visit jobs, and what to do when the app refuses.
Before you start
- You need Mobile Admin Access. It is switched on per user in Settings > Company Settings, on the Users tab (see Manage Users). Without it the Billing section does not appear on the job screen, and the app refuses invoice requests with a message to ask the office to check Mobile Admin Access.
- The job needs product lines. The invoice is built from what the job carries, with the company’s sales tax, the same lines the office would use. The office can edit or collect it afterwards from Billing > Invoices & Payments.
- You need signal for this one. An invoice is a real record with a number, so the app does not queue it for later. With no signal it tells you to try again when you have one.
Steps
- Open the job in the crew app and find the Billing section.
- Tap Invoice job.
- What happens next depends on the job:
- The job has completed visits that nothing has billed yet (Per Visit jobs): a sheet opens with No visit (extra charge on the job) at the top and selected. Below it is one row per visit, labelled the same way the office form labels them, for example “10/12/2026 08:00 AM, Crew Alpha, Completed”. A visit booked for “any time” shows the date only. The sheet lists the newest 200 visits; when the job has more, it says so under the list, as the office form does: choose No visit, then mark the older visit as billed on the Unbilled Visits report.
- Anything else (no such visits, or the app could not read the list): the usual Invoice this job? confirmation opens.
- Choose how to bill:
- No visit (extra charge on the job) bills the job’s lines as an extra charge. Completed visits are still billed separately, so if the job is set to invoice automatically, the visit will get its own invoice as well. The job moves to Invoiced only if it is already Completed. A job still being worked stays where it is, so it can still be completed.
- A visit records the invoice against that appointment. The visit will not be billed again: automatic invoicing, the nightly run, Batch Billing and the Unbilled Visits report all leave it alone. The job does not move to Invoiced.
- Tap Create invoice. The new invoice opens. Cancel at any point and nothing is written.
If the job is already set to invoice automatically, the confirmation carries a warning first, so the same work is not billed twice by mistake.
Tips
- Pick a visit when the invoice is that appointment’s bill. Pick No visit when it is an add-on, like a repair or an extra material charge.
- Tap once. Each tap is one request. If the app is slow, wait; a second tap is ignored while the first is in progress, and a repeated request never makes a second invoice.
- The office sees it at once. The invoice shows up on Billing > Invoices & Payments like any manual invoice, under the Not sent chip until someone sends it. See Create and Manage Invoices.
- Completing the last visit completes the job. When you complete a job’s last open visit in the app, the job moves to Completed, the same as in the office. A job billed On Job Completion then gets its one draft invoice for the whole job, so you don’t need Invoice job for it. See Automatic Invoicing.
Troubleshooting
- “Your account no longer has mobile admin access”: ask the office to turn on Mobile Admin Access for your user.
- “This visit is already invoiced (#…)”: another invoice already bills that visit, often because it was billed automatically or someone saved from another screen first. Open the job, choose another visit, or choose No visit (extra charge on the job). Nothing was created.
- “This visit is already marked as billed”: the visit was marked as billed in the office, or its invoice was deleted and kept deleted. Choose another visit or No visit.
- “Already billed by the … invoice”: a program round, monthly fixed or job completion invoice already covers that visit. Choose No visit to bill an extra charge.
- “This visit is not completed” or “This date is no longer a visit of its repeating appointment”: the visit changed after the sheet opened. Close the sheet and start again, or choose No visit.
- “Couldn’t invoice this job. An invoice needs a connection”: no signal. Try again when you have it; nothing was created.
- “This job’s lines add up to nothing”: there is no charge to record against the visit. Check the job’s products in the office first.
