The AI Receptionist is a paid add-on that answers your business phone 24/7 in a natural voice, tells callers it’s an AI assistant, answers questions from your business profile, captures new leads, and files requests for your team to follow up on. What it does (and does not do)

On a call, the AI Receptionist:

  • Answers 24/7 in a natural voice on a dedicated business number.
  • Identifies itself as an AI assistant and tells the caller the call may be recorded and shared with service providers. This disclosure is required; you can edit its wording, but it must always say those three things.
  • Answers caller questions using your business profile facts, your services list, and any documents you’ve uploaded.
  • Captures new leads (name, phone, address, service wanted, timing, and notes) into your Leads module, tagged with source “AI Receptionist.”
  • Files requests, such as a reschedule ask, a callback, a message, or an emergency, into the Receptionist Inbox for your team.
  • Transfers live calls to a route you define (a phone number and a plain-language condition, such as “emergency” or “existing customer”) on the Routing & hours tab.
  • Follows the business hours you set. After hours it takes a message; only routes you have marked available after hours (typically your emergency line) can still transfer.

What it deliberately does not do:

  • It never books, promises, or commits to an appointment time. It records the caller’s preferred day and time as a request; your team schedules the actual visit.
  • It never quotes a price.
  • It never gives chemical, fertilizer, or treatment advice.
  • It never turns a caller away for being outside your service area.
  • It doesn’t send or answer text messages. There is no two-way texting today, only voice.
  • It doesn’t store call recordings. Only a transcript is kept.
  • There’s no calendar or booking integration. Say “your team schedules the visit,” not that the AI books one.

Before you start

The AI Receptionist is a paid add-on: $39 per month, with 30 conversations included each month. Additional conversations beyond the 30 are billed at $0.75 each. Available on every plan. To turn it on, contact support; once it is active for your account the Setup page unlocks the remaining steps.

You’ll need:

  • Your existing business phone number, which you’ll forward to a new dedicated number the AI Receptionist answers on.
  • Your business profile details ready (hours, services, and any answers you want the AI to give callers).
  • A few minutes to write a greeting, read aloud by your chosen voice, and place a test call before you go live.

Activate the add-on

  1. Contact support to turn on the add-on for your account. This starts your $39/month subscription and the 30 included conversations for the current billing period.
  2. Once it’s active, go to Receptionist in the sidebar and open Setup. The Setup page walks you through the remaining steps in order: fill in your business profile, choose a voice and greeting, pick your number, confirm forwarding, and place a test call. You can also reach each of these settings directly from the tabs described below at any time.

Set up your business profile

On the Business facts tab, fill in the information the AI answers callers’ questions from: your services, service area, and any other facts callers commonly ask about. You can optionally import facts from your existing website to save typing them in by hand. Keep this current: the AI only knows what’s written here, in your services list, or in an uploaded knowledge document.

Choose a voice and greeting (disclosure explained)

On the Answering and alerts tab:

  • Set the agent name the AI uses when it introduces itself.
  • Write the greeting, which must include the mandatory disclosure: that it’s an AI assistant, and that the call may be recorded and shared with service providers. You can edit the wording around those two facts, but you can’t remove them.
  • Choose a voice and use the preview to hear it before you commit.
  • Set the notification email that gets alerted about new leads and requests.
  • Set the who follows up label shown to callers (e.g., who they should expect to hear back from).
  • Add a backup line: the number we dial for a missed call once you have reached your monthly limit with overage off.

Pick your number and forward your line

On the Setup page, pick the business number the AI Receptionist answers on. You can choose a new US local number inside the product. Once you have a number, forward your existing business line to it using the confirm forwarding step on the Setup page. Until you confirm forwarding, calls to your existing number won’t reach the AI Receptionist.

Business hours

On the Routing & hours tab, set your structured hours for each day of the week. During business hours, the AI Receptionist answers normally and can transfer calls per your routing rules. After hours it takes a message; only routes you have marked available after hours (typically your emergency line) can still transfer.

Call routing

Also on the Routing & hours tab, define up to 8 routes. Each route has:

  • A label (e.g., “Emergency” or “Existing customer”).
  • A phone number to transfer to.
  • A plain-language condition describing when the AI should use that route.
  • An available after hours switch, off by default, that lets this specific route keep transferring outside your business hours.

Use routes for anything you want transferred live rather than filed as a request, most commonly emergencies and existing-customer callbacks.

Knowledge documents

On the Knowledge tab, upload documents the AI can draw on when answering questions: PDF, TXT, DOCX, HTML, or EPUB, up to 20 MB each, up to 15 documents total. You can also paste text directly instead of uploading a file. Use this for anything not covered by your business profile or services list, such as detailed service descriptions or policies.

Usage and overage

The Usage and Billing page shows how many of your 30 included conversations you’ve used this period, the cost of any extra conversations at $0.75 each, and a toggle to turn overage on or off.

  • With overage off (the default), your receptionist keeps answering after the 30 included conversations, and those extra conversations are not counted or billed. Missed calls that reach our fallback ring your backup line.
  • With overage on, each extra conversation past the 30 included is billed at $0.75.

Turning it off

From the Usage and Billing page, you can deactivate the add-on. Once deactivated, the AI Receptionist stops answering calls, so make sure your business number is no longer forwarded to it, or forward it elsewhere, before you turn it off.
