Receptionist Inbox
Last updated October 16, 2026 · Owners, admins, and office staff
The Receptionist Inbox is where everything your AI Receptionist hears lands: requests that need action, every call it handled, and a transcript of each one. This article covers how to work the inbox day to day. To set up the AI Receptionist itself, see AI Receptionist.
Open it from Receptionist > Inbox in the sidebar. The number next to Inbox is how many open requests are waiting.
How the inbox is laid out
The inbox is one list on the left and a detail pane on the right. Pick a row in the list and the detail pane shows what the AI captured. On a wide screen the first row opens automatically. On a phone you see the list first; picking a row opens the detail, and Back returns you to the list.
Filters
Chips above the list choose what it shows. Each shows a count:
- Open requests (the default): reschedule asks, callback requests, messages, leads and emergencies that the AI filed during a call. Emergencies are listed first.
- Emergencies: open emergency requests only.
- Leads: open requests that captured a new lead.
- All calls and texts: every call the AI Receptionist has handled, whether or not it produced a request. Each row shows the caller, a Call tag, a status, an Escalated tag when it was escalated, and how many open requests it has.
Below the list, Completed, last 30 days opens a read-only history of requests you marked done or dismissed.
What the detail pane shows
- Kind and channel: the request type (for example Emergency or Callback) and a Call tag.
- Who called: the caller’s name and number, with a Copy button for the number. When the AI Receptionist matched the caller to an existing customer, the name links to the customer record. Recognized callers are also greeted by first name, and the receptionist knows their upcoming visit dates.
- What the AI captured: the saved summary of the request, and View lead when the call created a new lead in your Leads module.
- The call summary and transcript: a one-line summary, the outcome, the duration and an “After hours” tag when the call came in outside your business hours, followed by the full text transcript. Recordings aren’t stored; only the transcript is kept. If a call’s transcript never arrives, the call is marked Abandoned after six hours so it doesn’t sit in limbo.
- Mark done and Dismiss for the selected request.
Working a request
- Open Receptionist > Inbox. Open requests is selected, with emergencies at the top.
- Pick a request to read what the AI captured and the transcript, and open the linked lead or customer if there is one.
- Call the caller back on the number shown. The AI Receptionist doesn’t book appointments or send follow-up texts, so any scheduling or reply happens outside the product, on your terms.
- Click Mark done once you’ve handled it, or Dismiss if no action is needed. It moves to Completed.
Reading any call
Select All calls and texts to see every call, not just the ones that produced a request. Pick any call to read its full transcript, which is useful for confirming what a caller was told, checking whether the disclosure was given, or reviewing a call that didn’t turn into a lead or request.
Calls that came in while the line was paused (your monthly limit was reached, or AI call answering was off) also show here, so your team can call those people back.
Voice only, no reply-by-text
The AI Receptionist answers calls only; there’s no two-way texting today. Because of that, the inbox has no reply-by-text control. The detail pane says so and asks you to call the customer back on the number shown.
