Set up your Customer Portal

This is the operator’s end-to-end checklist for turning on the portal for the first time. Plan about 15 minutes — Stripe onboarding is the longest step and depends on you having your bank info and business details handy.

Before you start

You’ll need:

  • A login to your admin app
  • Your business’s legal name, EIN/SSN, and bank routing/account number (for Stripe)
  • Your logo and favicon as PNG, JPG, or WebP (logo ≤ 2 MB, favicon ≤ 500 KB)
  • Your primary brand color in hex (e.g. #2e7d32)

Step 1 — Open Portal Settings

From the admin app, go to Settings → Portal.

The first time you land here, a guided tour will walk you through the next four steps. Press Esc or click Skip tour any time to dismiss it.

Step 2 — Pick your portal URL

Under General, the Portal URL field controls where your customers will go (e.g. landscapingsoftware.com/portal/acme-lawn-care).

  • Leave it blank to auto-generate a URL from your company name.
  • Or type your own — lowercase letters, digits, and dashes only.

The URL must be unique. If someone has already taken yours, a suffix will be added automatically.

Step 3 — Enable the portal

Flip Enable customer portal to on. Until this is on, no one can log in even if they have a valid email link.

Step 4 — Choose what customers can see

Under What customers can see and do, toggle each section:

Toggle What it does
Show Invoices Customers can browse invoices and download PDFs
Show Payment History All payments on the account
Show Estimates Customers can review and approve estimates online
Show Contracts Customers can view their service contracts
Show Documents Customers see documents you’ve flagged “show in portal”
Show Service Plans Active service plans and renewal dates
Show Jobs / Schedule Off by default for most companies
Allow online payments Master switch for the Pay button
Allow card / ACH Which payment types you accept
Allow auto-pay Customers can opt into automatic charging on new invoices

If you turn a section off, the navigation item and the route both disappear from the portal — the section simply does not exist for that customer.

Step 5 — Connect Stripe

Under Stripe Connect, click Connect Stripe. You’ll be sent to Stripe to either:

  • Sign in to an existing Stripe account, or
  • Create a new one (Stripe walks you through it)

When you return, you’ll see your account status — green checkmarks next to Charges enabled and Payouts enabled mean you’re ready to accept payments. See Stripe Connect — what it is and how it works for what these mean and when payouts arrive.

Step 6 — Upload your branding

Under Branding and Branding assets:

  • Upload your portal logo (PNG/JPG/WebP, ≤ 2 MB)
  • Upload your favicon (PNG, ≤ 500 KB)
  • Set your primary brand color (and an optional accent color)
  • Edit the login page text to speak in your voice — headline, subtext, button label, help text, footer

A live preview updates as you type. Save the form to make changes go live. SVG uploads are rejected for security; PNG, JPG, or WebP only. See Branding and white-label for what you can customize and the per-customer toggle.

Step 7 — Configure fee passthrough (optional)

If you’d like the customer to pay the Stripe processing fee on top of the invoice, expand Customer pays the processing fee and flip the master toggle on. You can configure card and ACH fees separately. Read the legality warning carefully — surcharging is restricted in some US states. Details in Stripe Connect — what it is and how it works.

Step 8 — Invite your first customer

Go to Customers, open any customer record, and:

  1. Flip Portal access enabled to on.
  2. Click Send Temporary Password.

The customer gets an email containing a temporary password and a link to the sign-in page. The first time they sign in, the portal forces them to set their own password — the temporary one is dead the moment they do. After that, they sign in with email + password like any other account.

The Portal section on the customer record also shows Last invite sent and Last portal sign-in timestamps so you can tell at a glance whether the customer received and used the invite.

You can re-send a fresh temporary password any time (for example, if they never got the first one, or you suspect their inbox lost it). Each click rotates the password — only the most recent one works.
