Work-Completed Emails (Marketing)

A work-completed email is a branded summary a customer receives when a crew finishes a visit — the service performed, the date, crew notes, and any photos you’ve chosen to share. It’s a simple, professional touch that shows customers the work got done, and it runs automatically once you switch it on.
Before you start
- Your email sending must be set up for these emails to go out.
- Settings live on the Customer Communications page. There is currently no sidebar link for it — browse to
/CustomerCommsdirectly. (This is a known gap; see the note below.) - Photos are only included if you’ve explicitly shared them (see below).
Steps
- Go to the Customer Communications page (
/CustomerComms). - Under Work-completed email, turn on Send customers a summary when a visit is completed.
- Click Save.
What happens next
Once enabled, whenever a crew completes a visit the customer automatically receives a branded email containing:
- The service performed
- The date
- Crew notes
- Any photos you’ve shared with that customer
Customers get at most one of these emails per day, so a busy day of multiple visits won’t flood their inbox.
About photos
Crew photo uploads stay private by default. They’re only included in the email (and shown in the customer portal’s Photos section) after you mark them visible on a job’s photo page (/JobPhotos/Manage?jobId=…). Nothing is ever shared with a customer automatically.
Tips & best practices
- Share a few good photos before or right after a visit so the email arrives with visible proof of the work — it’s far more impressive than text alone.
- Pair it with review requests. A completed-visit summary followed by a review ask is a strong one-two for reputation building. See Review Requests.
- Keep crew notes customer-friendly — remember the customer reads them verbatim in the email.
Troubleshooting
- Can’t find the settings page. There’s no menu entry yet — go to
/CustomerCommsin your browser’s address bar. - Emails aren’t sending. Confirm your email sending is set up and the toggle is on and saved.
- Photos aren’t in the email. They haven’t been marked visible. Open the job’s photo page (
/JobPhotos/Manage?jobId=…) and share the ones you want included. - A customer got only one email on a busy day. That’s expected — the feature caps these at one per customer per day.
